What Happens If a Bathroom Vanity Arrives Damaged?

A bathroom vanity is a heavy, fragile object that crosses the country on a freight truck and passes through several handling points. Most arrive perfectly. When one does not, the difference between a fast replacement and a long argument comes down to what you do in the first 48 hours. Here is exactly how that works at NOVA-ELEMENTS, step by step.

What should I check before I sign the delivery receipt?

Inspect the outer crate and the vanity itself before the driver leaves. Freight insurance eligibility depends on that inspection. Walk around the packaging and look for punctures, crushed corners and shifted straps, then open the crate and check the countertop, the basin and the cabinet faces. Sign only after you have looked.

The driver will not wait indefinitely, so it helps to plan the inspection before the truck arrives. Clear a space where the crate can be set down and opened, keep your phone handy for photographs, and have your order number within reach. An adult over 18 has to be present to receive and sign for the shipment in any case, so the person signing may as well be the person inspecting. On a double vanity such as the CAPRI, 71 by 20 by 18 inches, 2 people make this considerably easier than 1.

What do I write on the receipt if the packaging looks damaged?

Write "Damaged upon arrival" on the carrier's delivery receipt before the driver leaves, and be specific about what you saw. That single note is the strongest piece of evidence in a freight claim, because it records the damage at the moment of transfer rather than afterwards. Sign the receipt with the note included.

The wording does not need to be technical. "Crate crushed on left side" or "visible crack in countertop" is enough, as long as it is written on the carrier's paperwork and not only in a photograph. If the driver is in a hurry, you are still entitled to the time it takes to look and to write. If you sign a clean receipt and then find damage inside, you can still file a claim within the window below, but the note makes approval faster and simpler for everyone involved.

How long do I have to report shipping damage?

You have 48 hours, which is two business days, from the moment of delivery to report damage to our team. That window is set by the freight insurance provider, not by us. Claims submitted after it may be denied by the insurer, so open and inspect the shipment as soon as it arrives.

This applies whether the damage was visible on the crate or only appeared once the packaging came off, it is the same window used for missing parts and for the wrong item, and it is the same 48 hours on all 10 vanities and both tubs. The practical consequence is that a vanity should not be left sealed in a garage for a week while the bathroom is being prepared. If your renovation schedule means the vanity will sit for a while before installation, unpack it and inspect it on the day it lands, then repack it. The shipping protection page sets out the full claim procedure.

What photos does a damage claim need?

Send 5 things by email: 1, high-resolution photographs of the damaged product; 2, photographs of the outer packaging, crates and protective materials; 3, a photograph of the shipping label and tracking information; 4, a written description of what you found; 5, your order number. Together these let us open the claim the same day.

Photograph more than you think you need. Wide shots that show the whole crate in place, then close shots of the specific defect, then the label. The packaging photographs matter as much as the product photographs, because the insurer uses them to establish where in transit the damage happened. If a part is missing rather than broken, photograph the inside of the crate showing what did arrive. Send everything in one email rather than in pieces, and the review starts immediately instead of waiting on follow-ups.

Who pays if my vanity arrives damaged?

We do. Every freight shipment we dispatch includes complimentary shipping insurance, and that coverage is arranged and paid for by NOVA-ELEMENTS rather than added to your order. On an approved transit damage claim you pay a $0 deductible, $0 return shipping and $0 handling fee, on a vanity that cost between $995 and $2,740.

This is a different situation from a change of mind, which is covered by our return policy and has its own terms. Transit damage is handled as a claim, not as a return: in most cases the resolution is a replacement rather than a refund, and you keep your place in the queue instead of starting over. If the model is out of stock at the time of the claim, resolution can include a partial or full refund instead. That decision is made once the documentation has been reviewed.

How fast do you send a replacement?

Our support team audits the documentation within 24 to 48 hours of receiving it. Once the claim is approved we dispatch the replacement parts or the full unit immediately, without waiting for the insurance provider to finish its own investigation. That investigation continues in the background and does not hold up your bathroom.

Insurance investigations on freight claims can run for months. Waiting for one to conclude before shipping a replacement would leave a renovation stalled around an empty wall, which is why we do not do it that way. The replacement ships from the same Tampa inventory as a new order, so it follows the same 7 to 15 business day timeline from approval to your curb. If only the countertop or the basin is affected, sending the component rather than the whole unit is usually faster and less disruptive.

Do I have to keep the crate and packaging?

Yes. Keep all original crates and protective materials until the claim is fully resolved. The insurer may ask to see them, and discarding the packaging before approval can make a claim ineligible. Keep everything flat in a garage or a spare room rather than putting it out for collection.

The same rule applies to the product. A vanity that has been installed, modified or discarded before the claim is approved is not eligible for replacement, which is the single most common reason a valid claim fails. It is tempting to fit a vanity that has a small chip and deal with it later, but installation closes the door on the claim. Wait for the approval email, then install. If you need the bathroom finished sooner than that, tell us in the claim and we will prioritize it.

What kind of damage is not covered?

Shipping insurance covers damage and loss that happen in transit. It does not cover damage that occurs after delivery, mistakes made during installation, or ordinary wear and tear. It also does not cover a vanity that was signed for, unpacked, installed and then found to be marked, because the cause can no longer be established.

Manufacturing defects are a separate matter and fall under the 1-year limited manufacturer warranty from Nova Elements LLC, which covers verifiable defects in materials and workmanship under normal residential use. A hairline crack that appears in a countertop months later is a warranty question, not a freight question. If you are unsure which category a problem falls into, send the photographs anyway and we will route it correctly. Our FAQ page covers the mounting and installation questions that come up alongside this.
